About this tool

Swiss QR Invoice Generator is Toolio's free, SIX-compliant alternative to bexio or Banana when you need a single invoice with a Swiss QR-bill — no account, no install, everything in your browser. Enter address details, multiple line items or grouped position blocks, pick from three layouts (modern, classic, compact), validate your IBAN automatically and export the finished invoice as a PDF with the embedded QR payment part to SIX standard. Built for Swiss freelancers, small agencies, fiduciaries and anyone writing their first CH invoice or who needs a clean, properly formatted QR invoice without setting up heavyweight accounting software. If you invoice regularly and need client management, recurring invoices or payment tracking, Toolio Core is the better fit.

Who uses it and why

  • Freelancers writing their very first Swiss invoice and needing a correct QR-bill to SIX standard.
  • Agencies producing a polished QR invoice with logo and custom layout for a one-off client project.
  • Fiduciaries who need to issue a corrected invoice for a client quickly, with grouped positions and a clean VAT breakdown.
  • Small businesses that don't yet use accounting software but already have to send QR-compliant invoices.
  • Associations, coaches and side-hustlers who only write a handful of invoices per year and don't want a monthly subscription.

What it does

  • Full Swiss QR-bill to SIX standard, embedded as the payment part below the invoice — scannable from any Swiss banking app.
  • Three layouts: modern, classic and compact — fitting studios, fiduciaries or lean service invoices.
  • Three themes (light, dark, accent) for brand-consistent invoices, light is free.
  • Multiple line items with quantity, unit price, VAT rate and optional grouped positions for bundled deliverables.
  • IBAN validation with check digits and automatic detection of QR-IBAN versus regular IBAN.
  • Available in German, French, English and Spanish — invoices are exported in the chosen language.
  • PDF export with embedded QR-bill, ready to email or print on A4.

Frequently asked questions

What is a QR invoice and when did it become mandatory?
The QR invoice is the Swiss standard for payment slips, introduced on 30 June 2020 and fully mandatory since 1 October 2022, when the orange and red payment slips were retired. It combines invoice and payment part on a single A4 sheet, with the payment part containing a Swiss QR Code that holds all payment data — payee, IBAN, amount, reference. Banking apps scan the code and pre-fill the payment form. The standard is defined by SIX Group and is effectively required for business transactions in Switzerland.
Do I need a QR-IBAN or is my regular IBAN enough?
Both work. A regular IBAN works with a standard creditor reference or no reference — fine for occasional invoices. A QR-IBAN (with bank clearing 30000–31999) is required if you want to use a structured QR reference, which lets your banking software automatically match payments to debtors — useful with high invoice volume or dunning. QR-IBANs are free from your bank. The generator detects which type you've entered and adjusts the reference field accordingly.
Which layout should I pick?
Modern suits creative, tech and studio invoices — generous whitespace, clean type, fairly informal. Classic is the safe choice for fiduciaries, lawyers and any role where convention matters — more structured, more formal, closer to the familiar Swiss invoice look. Compact fits all required fields onto a single page and works for short service invoices with few line items. When in doubt: start with Modern and see how clients respond.
How is this different from the full Toolio app?
The QR Invoice Generator is a single-shot tool — fill in, download PDF, done. No client database, no recurring invoices, no automatic numbering, no payment tracking, no multi-currency. Toolio Core (CHF 24/seat/month) handles client lists, automatic invoice numbers, recurring invoices, multi-currency, payment reminders, status tracking (open / paid / overdue), fiduciary export and ties everything to projects and time tracking. If you write more than a few invoices per year, Core pays for itself. For one-off invoices the generator is enough.
